Privacy Policy
This policy explains what CQT Ammo LLC collects when you use cqtammo.com or our dealer portal at commercial.cqtammo.com, why we collect it, how long we keep it and what you can ask us to do about it. It covers both sites; where something applies only to trade accounts we say so.
Who is responsible for your data
CQT Ammo LLC, a Michigan limited liability company, is the controller of the personal information described here.
What we collect, and why
Everyone who visits
- Technical information your browser sends — IP address, browser and device type, the pages you request and when. We use this to serve the site, keep it secure and diagnose faults. Our hosting provider processes it on our behalf.
- Strictly necessary cookies, to sign you in, remember your cart, and protect forms against cross-site request forgery.
- Your cookie choice, so we do not ask again on every page.
If you create a retail account
- Your name, email address and telephone number.
- Your shipping address.
- Your confirmation that you meet the minimum age for the products concerned and that shipment to your address is lawful, together with the date and originating IP address of that confirmation. We keep this because it is a compliance record.
- Your order history.
We never ask for your password by email or telephone, and we do not store passwords in a readable form.
If you apply for a dealer or distributor account
A trade application is also a credit application, so it asks for considerably more:
- Business identity: company name, legal name, DBA, ownership type, state of formation, filing number, Federal Tax ID (EIN) and optionally a D-U-N-S number.
- Licensing and tax: the states you are licensed in and your resale or tax-exemption certificate. A Federal Firearms Licence is optional — no licence is required to buy ammunition — but if you give us an FFL number and expiry date we verify it against the ATF eZ Check service and record that check.
- Trading information: business type, buying group membership, employee numbers, annual revenue, NAICS or SIC code, and the volumes you expect to buy.
- Named contacts for purchasing, sales, accounts payable and billing, with their names, titles, telephone numbers and email addresses.
- Physical, billing and shipping addresses.
- Trade references and a bank reference, where you request payment terms. These name other businesses and their staff; please only give them where you are entitled to.
- Documents you upload, such as your licence and certificates.
- The name, title and typed electronic signature of the person who submits the application, with the date and originating IP address.
Personal guaranty and sensitive identifiers
If you ask for payment terms we require a personal guaranty from a principal. That form asks for a Social Security number, date of birth and optionally a driver's licence number, and it authorises us to obtain a consumer credit report.
We deliberately do not collect those identifiers in any web form, and our database has no field for them. They exist only inside the guaranty document you complete and upload. That document is held as encrypted data in our database rather than as a file on a web server, and it can only be retrieved by a signed-in user with authority to see it. We do not include it in data-export archives.
Our lawful bases
Where privacy law requires us to identify a lawful basis, we rely on: performance of a contract, to open and operate your account and fulfil orders; compliance with legal obligations, for age, licence and recordkeeping requirements applying to ammunition; our legitimate interests, in assessing creditworthiness, preventing fraud and securing the site; and your consent, for optional cookies and for any marketing email, which you may withdraw at any time.
Who we share it with
We do not sell your personal information, and we do not share it for cross-context behavioural advertising. We disclose it only to:
- Our hosting and email providers, who process it on our instructions in order to run the site.
- Payment processors, where you pay us. Card details are handled by the processor; we do not receive or store full card numbers.
- Carriers and freight forwarders, to deliver your order.
- Credit reporting agencies and the trade and bank references you give us, where you have applied for terms and authorised us to make those enquiries.
- Regulators and law enforcement, including the Bureau of Alcohol, Tobacco, Firearms and Explosives, where we are required or permitted by law.
- Professional advisers, and a purchaser of the business, under confidentiality.
How long we keep it
- Records relating to a completed transaction, and the licence and address details recorded against them, for at least five years, because federal firearms licensees are required to keep records of disposition. These cannot be deleted on request.
- Applications that are declined or abandoned, for two years, then deleted.
- Account and contact details, for as long as your account is open and then as needed for the periods above.
- Our account activity log, which records approvals, licence verifications and signatures, for as long as we may need it to demonstrate compliance or defend a claim.
- Cookie choices, for one year, or until the policy materially changes.
Security
The site is served over TLS. Passwords are stored only as salted hashes. Uploaded licences, certificates and guaranties are held as encrypted data in the database rather than as files in a public directory, are checked on their actual content rather than their file name, are verified against a cryptographic checksum when read, and are served only through an authenticated endpoint scoped to the account they belong to. Access to trade pricing and documents is restricted by account, and every administrative decision is logged against the member of staff who made it. No system is perfectly secure, and we do not claim otherwise.
Children
This site sells age-restricted products and is not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us information, contact us and we will delete it.
Your choices and rights
You can ask us for a copy of your data, ask us to correct or delete it, and object to certain uses. How to do that — and the limits that apply where we are required to keep records — is set out on Your Privacy Rights.
Changes
If we change this policy materially we will update the date above and, where the change affects optional cookies, ask for your choice again rather than carrying forward a consent given to different terms.
